A busy three-doctor clinic managed all appointments through a paper book and phone calls. I built them a booking platform where patients schedule online, reception manages the day from a live dashboard, and automated reminders keep the schedule honest. Delivered in 8 weeks, including on-site training.
The Problem
Reception spent hours daily on scheduling calls, double-bookings happened weekly, and roughly one in four patients simply didn't show up — empty slots the clinic could never refill on short notice. Each doctor also had different scheduling rules (visit lengths, break patterns, days off), which the paper system handled only through one receptionist's memory.
The Solution
The patient portal shows real availability per doctor and books in three taps — no account required, verified by SMS. Each doctor's rules (slot lengths, buffers, recurring absences) are encoded in a schedule engine reception can adjust. Automated SMS reminders go out 24 hours and 2 hours before each visit, with one-tap confirm or cancel — and cancelled slots instantly reopen for booking.
The Process
The make-or-break constraint was that reception would abandon anything slower than the paper book. I spent a day observing their workflow before designing the dashboard around their actual habits — the day view mirrors the paper book's layout deliberately. We ran two weeks of parallel operation (paper + system) before cutting over, which caught three edge cases in doctor scheduling rules.
